The Executive / Senior Executive – Air & Ocean Import Operations will manage end-to-end Air and FCL import processes for shipments moving to the USA and Canada. The role requires strong coordination with airlines, terminals, ground handlers, vendors, and internal teams to ensure smooth operations, timely updates, and excellent customer experience. This position supports North American operations during night shift hours to align with EST/PST time zones.
Key Responsibilities
1. Air & Ocean Import Operations (USA & Canada)
Manage daily Air import operations for the USA and Canada, ensuring timely and compliant processing.
Handle FCL import operations for Canada including documentation, coordination, and shipment movement.
Ensure adherence to all customs, regulatory, and carrier requirements.
2. Communication & Stakeholder Coordination
Serve as the main point of contact for customers, internal teams, airlines, terminals, and vendors.
Maintain consistent and clear communication to support end-to-end shipment execution.
Respond promptly to customer inquiries and internal requests.
3. Coordination with Airlines, Terminals & Ground Handlers
Liaise with airlines, terminals, and ground handling agents for real-time shipment visibility.
Track customs clearance status and proactively escalate issues to relevant teams.
Maintain accurate logs of updates, escalations, and shipment progress.
4. Real-Time Shipment Tracking & Updates
Monitor shipment milestones including arrival, customs status, release, and out-gate.
Provide timely and accurate updates to customers as soon as information is received.
Communicate any delays, holds, or exceptions on the same day.
5. Last-Mile Delivery Coordination
Coordinate with trucking vendors and transport partners to arrange final delivery.
Ensure PODs (Proof of Delivery) are collected, uploaded, and shared within defined timelines.
Troubleshoot last-mile issues and resolve them promptly.
Required Skills & Qualifications
1–4 years of experience in Air or Ocean import operations (USA/Canada experience preferred).
Strong understanding of shipment milestones, customs processes, and airline/terminal coordination.
Excellent communication skills (written & spoken English).
Ability to multitask in a fast-paced international logistics environment.
Strong follow-up, problem-solving, and escalation management skills.
Familiarity with freight forwarding systems/ERPs (e.g., Shipthis, CargoWise) is an advantage.
Work Schedule
Night Shift (aligned with US time zones – EST/PST).
Monday to Friday (weekend work only during operational urgencies).
